Open the Workflow Monitoring Settings
Open the Workflow Monitoring Settings by clicking the second tab called ‘Settings’ in the Workflow Monitoring. Now you can adapt the behavior of the Workflow Monitoring and Archiving individually for each Workflow.
Adjusting the Settings
The table contains an entry for every Workflow that is deployed on this Simplifier instance. Note that these settings are not included when transporting a Workflow, since they are specific to the Simplifier instance.

Record variable history | This setting allows for controlling whether or not the changes in the variables of a workflow instance (“variable history”) are recorded.
In case the variable history recording is on (default), it can be viewed in the Workflow instance detail view in the Workflow Monitoring. This allows for later auditing exactly which user made which variable changes. If this functionality is not needed, you can turn off the setting in order to improve performance and reduce database size. Please note that changes to this setting only take effect for Workflow instances that are created after the change was made. |
Keep in Monitoring after completion | With this setting, you can control whether or not completed Workflow instances remain in the monitoring. A workflow instance is regarded as completed when it is either in state finished or terminated.
When this setting is on (default), completed instances remain in the Workflow monitoring until they are archived. Upon archiving, they are removed from the Workflow Monitoring. If you do not need to keep and archive completed Workflow instances and want to reduce database size, you can turn this setting off. This will cause a Workflow instance to be removed from the Workflow monitoring as soon as it is completed. Note that in this case the instance is not archived and its data is lost permanently. Please note that changing this setting takes immediate effect for all completed instances. |
Archive completed after | When a completed Workflow instance is moved to the archive on the file system, it disappears from the Workflow Monitoring.
This setting determines the duration (in days) for which a completed workflow instance remains in the Workflow Monitoring before it is archived. Depending on the archive job interval setting, the actual duration might be higher. |

Completed Workflow instances are moved to the archive by a job that runs regularly.
This setting determines the interval with which the archiving job is run. The job will remove completed workflow instances from the Monitoring and archive them in the file system. The entered value in days must be greater than 0. Note: In case the interval is set to greater than 1 day, completed Workflow instances might remain in the Workflow Monitoring for a longer period than configured in the setting “Archive completed after”. |
